Earthdance is a networking project with the aim of uniting
a coalition of promoters from across the world that believe strongly in
peace and the future of our planet. Each promoter creates an Earthdance
event using their own funds, like they would any other normal event. There
are no conditions on how big or small the event is. Promoters can create
events with 50,000 people or with a few hundred. The spirit of Earthdance
is participation on whatever level feels right.

We will help you promote your event by having
your own web page (Event Location Group) on the official
Earthdance Network website.
Your Event Location Group should be called Earthdance
(Your Location). Your location is considered to be City or town that
your event is being held in (or the nearest City or Town to your event
if it is in a remote location). You can not name your event after a
State or Country as there are or will be other events in your region.
Your event location page should have your
event flyer as its image and you can utilize the network to promote your
event and build your own fully interactive community.
You can upload videos, photos, blogs, forums and build community through your Earthdnace Event Location Group
If you already have a website for your event, you till
need to create an event Location Group page but you can add your own
URL at the top and encourage people to go there to find your information.

EARTHDANCE "GIVE
BACK" INITIATIVE (Licensing Fee/Donation) (top)
Earthdance
International co-ordinates the annual event which has grown to include
hundreds of locations around the world. Because of this growth, we need
to properly fund a staff to coordinate the international event.
Our current model is not sustainable, so we have come up
with a simple solution that will honour the integrity of the event, our
international promoters as well as our central office.
Many Earthdance
events are free to the public and do not make any profit. That is fine
- because the purpose of Earthdance is to get everyone around the world
to celebrate Peace at the exact same moment. However, in order to be
more sustainable, Earthdance is looking to promoters who do make a profit
at their events to help support our efforts.
Based on the typical "licencing" concept that
many international organizations use, we have come up with the Earthdance "Give
Back" initiative,
where all promoters who charge an admission to their events or expect
to make a profit from sponsorships will pay a simple fee in the form
of a donation to Earthdance international. This fee is loosely based
on projected attendance - where promoters pay $1 (or whatever monetary
unit of comparable value in your country) per expected attendee. To keep
it fair, we set each tier range fee based on the lowest # of attendees
per tier.
If
you are doing a free event, then you need not pay this licensing fee
donation.
For
events that are charging admission, we understand that this is different
than how we have organized in the past so, this is a good faith request
- not a requirement. Just do what you can and let us know your thoughts.
We hope in the future, you can budget in this licensing fee/donation
as part of your planning process.

FOR PEACE GUIDELINES
The Prayer for Peace is a 4 minute
track that promoters commit to playing simultaneously
across the globe linking the entire Earthdance community in celebration
of world harmony and peace.
We encourage you to download
the Prayer for Peace MP3 well in advance
in order to avoid disruptions due to
heavy traffic.

To be officially recognized as
an Earthdance event, every
public event needs to have its own Event
Location Group on the
Earthdance Community Network site. This
page can be linked to any other website for more details (if
you already have a website).
Your Event Location Group page allows you to upload photos, videos,
start forum discussions and build a vibrant community. Its a
great resource for all earthdance Event Promoters to use.

Selecting a Charity
| Supporting Your Charity Financially
SELECTING
A CHARITY: The main mission of Earthdance is to bring
together diverse populations around the world for in a synchronized
celebration of peace. Recognizing the power of "Think Globally,
Act Locally," we require Earthdance promoters to
select one or more local charities to promote and support at your
event.
Part of the Registration Process is to
name your charity. You invite this charity to your event and give
them space to display information tables, collect petitions and
give speeches at your event, etc...
We want to help you promote your
charity. If they have a web address, will will add their
site as a link from our international website. See
the list of charities supported in the past.
In the past we suggested you choose a local
charity that fits under the banner of one of the Earthdance causes:
- The Welfare of Children
- Urban Youth
- Indigenous Peoples
- International Relief and Development
- Environmental Protection & Sustainability
- Organizations that help Promote Peace
SUPPORTING
YOUR CHARITY FINANCIALLY: Not all events make money - it is
not a requirement. Some events are free to the public
and get everything donated. But if your event does make money,
we require that you make a 50% donation to your charity if you
make a profit (after expenses). Although
many promoters donate much more than 50%, we do suggest keeping
some see money for the following year's event.
EARTHDANCE LOGO
& WEB ADDRESS
We require that all Earthdance
Promoters include the Earthdance Logo & Web Address (www.earthdance.org)
on your materials (like a sponsor logo & link). We require
this because it
is important that people understand you are part of a global
event.
If you have a website
of your own that you are using to promote the Earthdance
event, we require that you put our logo and a link to the
International site. The
logo is available for download in our Promoters Resource section.

worldwide.
THE POST-EVENT
FORM
Part of your obligation as a promoter
is to follow-through with a Post Event Report. Even if your
event was cancelled at the last minute, we need to know about
it. The
Post Event Form needs to be filled out by Nov 1, 2010. This
gives everyone plenty of time to recover and tally-up attendance
and profits.
By filling out the Post-Event Form, we
can get accurate statistics on attendance, and track charity
support. This form is crucial to paint the global picture.
Promoters who fill out the forms and communicate responsibly
will be our first consideration if and when we are able to
financially support Earthdance events globally.
